DBS Checks for Rushmoor Voluntary Member Organisations

We can support our member organisations to have DBS checks carried out for their staff and volunteers. We have a contract with Security and Vetting Solutions Ltd.

The steps you take and cost are dependent on what level of check you need. These are the steps to find out:

  1. Create a role profile for each volunteer/member of staff that may need a check. Rushmoor Voluntary Services (RVS) can provide templates or check through the role profile to ensure it has enough information, to enable an eligibility criteria check to be carried out. If necessary RVS will suggest adding more information. (Contact Membership Support Co-ordinator)
  2. RVS will ask the member organisation to carry out an online criteria eligibility check. If you need support to do this, contact the Membership Support Coordinator. This is the website link https://www.gov.uk/find-out-dbs-check
  3. If the role meets the eligibility criteria, it will also advise at what level: Enhanced; Standard; Basic.
  4. If the role is not eligible:

a. Organisations may decide to request their staff/volunteers to carry out a basic check themselves and reimburse the fee of £18. This is dependent on the individual’s agreement and is not essential for the role. If you do decide to go ahead and the individual agrees, this is the website link https://www.gov.uk/request-copy-criminal-record

b. RVS can support the staff/volunteer to complete the Basic DBS check, which will incur £15 administration fee, in addition to the £18.

c. RVS can carry out the Basic DBS check on behalf of the individual at a cost of £46.80.

  1. Where the eligibility criteria are met, inform RVS what level of check can be carried out, along with an email address for each applicant.
  2. RVS will send an online link directly to the volunteer/member of staff, to complete the application form. We can offer support to individuals if they are struggling. (Contact Membership Support Co-ordinator)
  3. Once complete, RVS will receive notification that the application has been completed and will make an appointment with the volunteer/member of staff, to verify identity documents in person.   4. The online application form will then be submitted to SVS Ltd.

 

BASIC DBS carried out on behalf of the individual

  1. The applicant will be notified by SVS Ltd by text or email that the check is in process.
  2. Once complete, the applicant will receive a paper copy of the DBS check in the post.
  3. RVS will be notified by SVS Ltd and will inform the member organisation the check has been completed.
  4. In the event there are any unspent convictions, RVS will advise the volunteer/member of staff to discuss with the organisation.
  5. The cost of carrying out the DBS check will be charged by RVS to the member organisation.
  6. RVS will send an invoice to the member organisation. Please provide details of where to send the invoice and to whom.

Staff/volunteer basic DBS                 £46.80 (including VAT + admin fees)
Please note that for basic checks, it is cheaper for the member organisation to ask the individual to do this themselves on the Government website, as this will only incur a charge of £18.

If the member organisation requests our help to enable the individual to access the government website this will incur an administration fee of £15, in addition to the £18.

  1. The digital version of the DBS certificate will be kept on the SVS system for 6 months before being automatically deleted.

 

ENHANCED DBS

  1. RVS will be notified by SVS Ltd and will inform the member organisation the check has been completed.
  2. A copy of the check will be sent to the member organisation.
  3. The cost of carrying out the DBS check will be charged by RVS to the member organisation.
  4. RVS will send an invoice to the member organisation. Please provide details of where to send the invoice and to whom.

Staff enhanced       £66.20 (£38 DBS check, £11 + VAT SVS admin & £15 RVS admin fees)

Volunteer enhanced    £28.20 (£11 + VAT SVS admin & £15 RVS admin fees)

  1. The digital version of the DBS certificate will be kept on the SVS system.
